ARL is the leading Pharmaceutical Quality, Sterility and Safety testing laboratory in the nation with an unmatched reputation for quality science and customer service. The Quality Systems Administrator is an entry-level position under the direct supervision of the Quality Systems Managers. The position will learn and assist with various compliance control actions.
The Quality Systems Administrator is a unique role within the company and industry. Many documents have various degrees of record retention, and this position will act as a Records Administrator to maintain vast physical and digital records. This includes scanning, copying, locating, archiving, and retrieving various documents such as invoices, lab notebooks, and investigation reports across several different departments, upon client or department leadership request. This position must have a high degree of detail to ensure TRUE Copy Verification when uploading physical to digital systems including page counts, orientation, visibility and other identifying information checking for color distortion, inaccurate numbers, and other discrepancies that will lead to noncompliance with federal, state, local, industry and company regulations including those of the FDA, DEA, and USP
Restrictions: Because of the vital nature of this work and DEA and FDA regulations we do not allow medical marijuana cards, and we do random drug testing on all our employees.
Work Schedule...
Members of the Quality Department are expected to complete 8 hours a day with the majority during normal company business hours, allowing for some flexibility of shifts.
Normal Company business hours of operation are Monday through Friday, 8:00 a.m. to 6:00 p.m.
Some Flexibility is required as occasional extensions before or after normal company business hours, and weekends will be required as part of an on-call rotation.

Position Duties...
- Supports the Quality Department in implementing policies and procedures, suggesting new processes to ensure continuous improvement and compliance with federal, state, and industry regulations.
- Data entry of documents into appropriate assigned internal and external systems, creation and maintenance of the archive system.
- Scanning, uploading, and verification of document uploads into client-specific databases.
- Perform True Copy Verification, taking steps to verify that page counts, page visibility, page orientation, color, and other identifying information of documents are properly and accurately present in the digital image.
- Maintain confidentiality of all documents and information, including clients’ and the company’s
- Uploads Client Specific Test Documentation to File Transfer Protocol (FTP) Server within appropriate time-sensitive deadlines across multiple time zones.
- Maintain assigned vast physical and digital archives, acting as a records clerk to index, catalog, retrieve, locate, copy, scan, archive, and sign out appropriate documents when requested.
- Verify that appropriate documents are destroyed in accordance with internal policies.
- Run cycle reports for the department leadership to verify compliance.
- Adhere to, use, and maintain Personal Protective Equipment (PPE) and Laboratory Safety Equipment, and identify hazards that may arise.
- Complete all safety training, including but not limited to OSHA, Departmental SOPs, and Company Compliance

Physical Requirements...
- This is an active role with occasional walking between buildings daily. This position is a partially sedentary role, and some filing is required.
- Ability to sit and stand in front of a computer for extended periods, with intermittent twisting/bending to reach instruments or supplies surrounding equipment.
- Routinely stand, stoop, climb ladders, and walk in the performance of duties with occasional kneeling, crouching, and/or crawling.
- This position would require the ability to lift 50 Lbs. (if an object weighs more than 50 Lbs. ARL requires this to be a two-person job or the use of carts..
- Must be able to wear Personal Protective Equipment (PPE).
- Must be fluent in written and spoken English to receive and communicate information for standard and complex operations and emergencies clearly and accurately.
